How orders become invoices

Xero's invoice importer expects ContactName, InvoiceNumber, InvoiceDate, DueDate, Description, Quantity, UnitAmount, AccountCode and TaxType, with one row per invoice line and the same InvoiceNumber repeated for every line on a multi-item order.

This reads an orders export (built for Shopify's order CSV, with generic fallbacks for other formats), groups its rows back into one order per invoice, and writes one output row per line item, or one summary row per order if the file has no separate line items.

Before you import

  • AccountCode: set it to a code that already exists in your Xero chart of accounts (Business → Accounting → Chart of accounts). The default here, 200, is a common "Sales" code in a fresh Xero organization, but yours may differ.
  • TaxType: must match a tax rate name already set up in your organization, exactly. Check Business → Accounting → Advanced → Tax rates.
  • Payment terms: sets DueDate as InvoiceDate plus however many days you choose.

In Xero: Business → Invoices → Import, and upload the downloaded file.

Questions people ask

Why did my import fail even though the file downloaded fine?

Almost always AccountCode or TaxType not matching an existing value in your Xero organization exactly, including capitalization. Check both against your chart of accounts and tax rates first.

Does this handle sales tax or VAT as a separate line?

No, it puts the order total (or each line item's price) in UnitAmount and applies one TaxType you choose across every row. For mixed tax rates within one order, edit the file by hand after downloading.

What format should my orders export be in?

Built around Shopify's order CSV export (Orders → Export), with generic column names as a fallback. If your export uses very different headers, some fields may come through blank, check the preview before importing into Xero.

Can I use this for WooCommerce orders?

Yes, if you first export them to CSV, for example with the WooCommerce Orders Exporter tool, which outputs columns this converter also recognizes.
